New Security Protocol: How to Sign and Print Documents with Adobe E-Signature

Jun 18, 2026 | Uncategorized

To ensure the highest level of security for your sensitive financial information, Capaldi Reynolds & Pelosi, P.A. is using Adobe Acrobat Sign with Knowledge-Based Authentication (KBA) for your
electronic signatures. KBA is a secure, IRS-compliant method used to verify your identity by asking questions based on public record data.

Step-by-Step Instructions

  1. Look for an Email: You will receive an email from your accountant via Adobe Acrobat Sign with the subject: “Signature Requested: [Document Name]”.
  2. Open the Document: Click the Review and Sign button in the email.
  3. Verify Your Identity (KBA): Before you can see the document, a secure window will appear. You will need to enter your legal first name, last name, home address, and the last four digits of
    your Social Security Number (optional).
  4. Answer Challenge Questions: The system will generate 3-5 multiple-choice questions based on your personal history (e.g., previous addresses, mortgage lenders, or vehicle history).
    • Note: You must answer these correctly to access to the document
  5. Review and Sign: Once verified, you will be taken to the document. Click on the highlighted fields to fill in information and the Signature Field to sign.
  6. Finalize: Click the final Click to Sign button at the bottom of the page.
  7. Receive Your Copy: Once all parties have signed, you will receive an automatic email from Adobe Sign with a copy of the final, legally binding, and audited document.

Important Tips

  • Security: This process is secure and confirms your identity, protecting your information.
  • Failed Attempts: If you fail the KBA challenge, the system will lock for security reasons. Please contact us if you need assistance.
  • Device: You can complete this process on a computer, tablet, or smartphone.

To print an Adobe Sign document verified with Knowledge-Based Authentication (KBA), download the completed PDF from the email link or Adobe Sign portal, then open it in Adobe Reader and select Print
> Document and Markups to ensure the signature and audit trail appear. If the signature still doesn’t appear, use “Print to PDF” to flatten the document first.

Steps to Print a Signed Document

  • Download: After completing KBA and signing, click the link in the completion email to download the final signed document.
  • Open: Open the downloaded PDF in Adobe Acrobat Reader.
  • Print Settings: Go to File > Print. In the print dialog box, look for the “Comments & Forms” dropdown menu and select Documents and Markups.
  • Flatten Document (If Needed): If the signature still does not show, choose Print to PDF (or “Microsoft Print to PDF”) as your printer to create a new, flattened version of the document, then
    print that new file.
  • Remove Restrictions: If the document is locked and won’t print, you may need to check that your Adobe signature preferences allow for printing.
